To enable Our Meeting Notetaker feature to automatically join Your meetings and transcribe the minutes, We require access to Your calendar events. This includes visibility of the event attendees to determine which meetings to join and to correctly associate the meeting notes with the participants. As part of this process, We may share information about the event and its attendees with a third-party Large Language Model provider to enhance the meeting notes. This collaboration ensures that the notes are comprehensive and accurately reflect the discussion.

Retrieval-Augmentation Generation (RAG)

Our Retrieval-Augmentation Generation (RAG) feature is designed to curate a personalized knowledge base to improve Our service's responsiveness and accuracy. To achieve this, We request permission to access Your documents. You may upload these documents directly from Your computer or Your online storage solutions, such as Google Drive. This access allows Us to better understand Your needs and tailor Our services accordingly. In this process we may work with a third-party to store your documents in a special database which is optimized for RAG and LLM applications and share these data for further processing with Large Language model providers.

Meeting Follow-Up

To create custom meeting summaries and draft high-quality email follow-ups, We require write access to Your email provider. This enables Us to store drafts in Your email's draft folder, facilitating seamless post-meeting communication. These drafts are generated to reflect the outcomes and action items from Your meetings, ensuring You can follow up effectively with participants.

Opportunity Summarization

In order to provide You with concise summaries of Your sales opportunities, We analyze the emails You receive from prospects. Upon reviewing these emails, We utilize a third-party Large Language Model provider to integrate updates from these communications into the broader context of each opportunity. This process allows Us to deliver insightful summaries that aid in tracking and managing Your sales pipeline effectively.

Data Access, Collection, Use, Maintenance, and Sharing Practices

Data Access and Collection

1337 Sales accesses and collects the following data through Zoom scopes to provide its core functionality as an AI notetaker:

  • Recording Data: Used for transcription, summarization, and AI-driven chat functionality.
  • Chat Data: If applicable, used to extract actionable insights and summarize in-meeting discussions.

1337 Sales does not collect:

  • Race or ethnic origin.
  • Political, religious, or philosophical opinions or beliefs.
  • Trade union membership.
  • Biometric or genetic information.
  • Information about personal health, sexual activity, or sexual orientation.
  • Criminal history.

1337 Sales collects user input for financial data, payment data, authentication information, or personally identifying information (PII) strictly for account management and payment processing purposes.

1337 Sales does not collect personal data from users or participants under the age of 16. The application is not intended for education (K-12), healthcare, or Zoom for Government purposes.

Data Use and Maintenance

  • Data collected is used solely to provide the app's functionality, including transcription, note-taking, and AI-powered interactions.
  • Data is securely stored with encryption in AWS RDS (MySQL) and AWS S3.

Data Sharing Practices

  • 1337 Sales does not disclose data collected through Zoom scopes or other user-provided data to unauthorized fourth parties.
  • Data is shared with authorized third parties (e.g., Deepgram for transcription, OpenAI for embedding and chat processing) under strict data protection agreements.
  • 1337 Sales does not sell data, use it for advertising, marketing, or surveillance, or engage in reverse engineering or profile reconstruction.

Data Retention

  • Data is retained until the user deletes their account or deletes the associated meetings from their account. Users have full control to manage their data.
  • Data from Zoom scopes is retained only as long as necessary to perform the application's functions or purposes disclosed in this privacy policy.

Cookies

1337 Sales uses cookies for session management and user authentication. Users are provided with disclosures about the use of cookies during onboarding and through our cookie policy available on the website.

User Data Rights

Users have the following rights regarding their data:

  • Access: Users can request access to the data collected by the app.
  • Correction: Users can request corrections to any inaccuracies in their data.
