Building a Smart Knowledge Hub with AI-Powered Project Management

The growing agency was struggling with information fragmentation as their team and client base expanded. Critical project knowledge was scattered across Slack conversations, Google Drive folders, Notion pages, and individual team members' heads. Team members were wasting 1-2 hours daily hunting for project context, client requirements, technical specifications, and past decisions. New hires faced a steep learning curve trying to piece together project histories from fragmented sources. The manual process of updating project management tools like Airtable was consistently behind, creating a disconnect between actual project status and recorded information. This knowledge chaos was causing missed deadlines, duplicate work, and frustrated team members.

We developed a custom Telegram bot powered by Claude that serves as an intelligent knowledge management system. The agent has access to the agency's entire file directory structure, allowing it to instantly search through project documentation, client files, technical specs, and meeting notes using natural language queries. The system integrates with multiple MCP (Model Context Protocol) connectors, automatically syncing project updates, task status, and epic progress to Airtable in real-time. Team members can simply ask the bot questions like "What was the last decision on the authentication system for Client X?" or "Show me all pending tasks for the e-commerce project" and receive instant, contextual responses with source references.
