With documentation spread across shared drives and outdated folders, HR responses often took 24-48 hours, frustrating branch managers and delaying critical decisions. The manual process also made it impossible to identify gaps or inconsistencies in company documentation, leading to conflicting guidance across locations.

We developed an intelligent HR chatbot using RAG (Retrieval-Augmented Generation) technology that indexed the company's entire documentation library.

The system allows HR staff to instantly query company policies using natural language, receiving accurate answers with source citations. The chatbot serves as both a response tool for employee queries and an analytical engine that tracks frequently asked questions to identify documentation gaps. The system flags outdated policies, highlights contradictory information, and provides insights into which topics generate the most confusion, enablingthe HR team to proactively improve their documentation strategy.
